Working for a well-established and award winning national electrical services company and reporting into the Division Manager, working as part of a small admin team of four, this Division Administrator position will involve you supporting the electrical engineering services team with a range of administrative, customer services and operations tasks that need to be carried out in a timely, effective and efficient manner to ensure project and contract deadlines can be consistently achieved on time and on budget.

Role: Full Time and Permanent opportunity
Location: Southern Suburbs (30 mins drive from CBD)
Hours - 7.00am-3.30pm Monday to Friday (7.30am-4pm can also potentially be considered)

Key Responsibilities include but are not limited to

  • Scheduling work for electricians/technicians
  • Regularly updating works planner and client portals
  • Opening/creating jobs
  • Raising invoices
  • Raising Purchase Orders
  • Weekly Timesheet data entry and management
  • Archiving duties
  • Organise Inductions and training
  • Compliance/OHS doc management
  • Organise MSIC Cards
  • Management of weekly planner emails
  • Management of Call Out Roster
  • Maintain archive registers
  • Manage incoming divisional emails
  • Minute taking/typing minutes for Labour meetings and Tool Box Talks
  • Follow up quotes/debtors
  • Customer services / call handling

Skills / Experience/Attitude required:

  • Previous administration and scheduling experience gained in an electrical, maintenance, construction services, HVAC, or facilities management environment is preferred
  • Cert IV Administration (or equivalent) preferred
  • Intermediate MS Office, especially MS Word, Excel, PowerPoint
  • Excellent time management, planning and organisation skills
  • High level communication/customer services capabilities
  • Attention to detail - do it right first time
  • Experienced in using Greentree or other finance system is preferred
  • Attitude is everything and you will have a fantastic work ethic and a can do' attitude
  • You will have the ability to naturally adapt to a fast-changing environment
