Reporting to CEO, in this newly created role, the Executive Assistant will be an integral administrative support for the senior leadership team, providing timely and professional high-quality assistance ensuring excellent service delivery. This is a full-time permanent position, based on site at Edinburgh, working Monday to Friday. Car parking is available on site.

Your role:
  • CEO phone, diary, and email management, including triaging correspondence for actioning, proactively identifying priorities and commitments, and coordinating diary appropriately
  • Manage document approvals for actioning
  • Preparation of internal and external meetings, including conference coordination, meeting set up and catering, development of agendas, minute taking, distribution of meeting minutes / reports in readiness for meetings, follow up on outstanding meeting actions
  • Support Senior Management with developing agendas, preparing documents, minute taking, and attending to logistics of meetings
  • Researching and preparing reports, presentations and correspondence for relevant parties including the Board
  • Liaise with internal and external stakeholders/ clients
  • Frontline investor relations, responding to investors queries in relation to stock market
  • Travel and accommodation booking, including corporate credit card/ expense reporting processing
  • Organising and managing significant business events, both internal and external
  • General office management duties such as mail management, ordering office supplies and general office upkeep.

About you:
  • Demonstrated experience in an Executive Assistant / Personal Assistant role in a busy manufacturing or construction related industry
  • Ability to make considered decisions with maturity and professionalism.
  • Protect confidential information and execute all work professionally and with the highest level of discretion.
  • Work collaboratively with all functions across the business, supporting transparent and open communication
  • Maintain a positive working relationship with all stakeholders
  • Exhibit service orientation and flexibility in a fast-paced environment.
  • Highly organised and meticulous.
  • Proficient in Microsoft Office especially in MS Excel, Word and Power point
  • Fantastic people skills with the ability to prioritise, not to mention a high level of attention to detail
