Operating in the Northern Territory since 2002, our client is a locally owned and operated business specialising in the construction and maintenance of commercial, industrial, residential and government facilities. Our client employs a skilled team, comprising of Project Manager's, Carpenters, Apprentices and Trades Assistants/Labourers.

Position Overview:
We are seeking a highly motivated, vibrant, and proactive Project Administrator to join our client's expanding team on a fulltime permanent basis. This role involves high level administrative support to the Project team assisting with H.O.T.O (Handover Takeover) tasks to ensure smooth day to day operations on construction projects.

Duties and responsibilities:
• Use the Defence HOTO Checklist to meet project deliverables.
• Track HOTO requirements and upload documents.
• Create & manage registers to track HOTO Checklist requirements.
• Produce Operations & Maintenance Manuals and training guides.
• Populate Defence Estate details.
• Collect and upload documentation from suppliers & subcontractors.
• Liaise with internal and external stakeholders.
• Conduct training sessions post-DLP period.
• Manage DLP maintenance activities and schedules.
• Assist with SDMP compliant drawings.
• Attend project meetings and report on HOTO progress.
• Submit required documentation into HOTO folders.
• Resolve post-completion defects promptly.
• Manage Subcontractor DLP Maintenance and upload reports.
• Other adhoc high level administrative duties as required.

What you need to succeed:
• 5+ years' experience working in a senior level administrative or project administrator role.
• Ability to produce comprehensive operations and maintenance manuals and user training guides and conduct effective training sessions.
• Knowledge of project documentation including inspection and test reports (ITP's), building certifier documentation.
• Intermediate to advanced excel skills to work with data and create project registers.
• Excellent communication and stakeholder engagement abilities.
• High level of attention to detail to ensure quality control of project documents.
• Time management, strong organisational skills, and ability to manage competing priorities across multiple projects.
• Ability to set and manage tasks for project staff and subcontractors to achieve project deliverables.
• Willingness to work effectively as a part of a busy team, be well presented and demonstrate enthusiasm for the job.
• Ability to prioritise work tasks, meet deadlines, and work with minimal supervision.
• Punctuality, reliability, and willingness to be flexible.
• Current NT driver license.
• Must be in based in Darwin NT or willing to relocate with full working rights.
• Understanding of defence policies, standards, and compliance requirements, particularly related to the Handover Takeover (HOTO) process and compliance (highly desirable)
• Experience using complex systems such as OmTrak, iTWOcx and Plan Radar (highly desirable)
• Knowledge in construction or defence related industries (highly desirable)
