Location: Northern Eastern Suburbs of Melbourne
Hours: 8am to 4.30pm Monday to Friday with half hour lunch
Your key responsibilities include but are not limited to:
- A focus on systems and processes and providing administrative support for the division
- Maintain archive registers
- Manage incoming divisional emails
- Minute taking
- General office duties including data entry
- Follow up quotes/debtors
- Keep open jobs files up to date
- Records/customer/client systems upkeep
- Customer services / call handling
- Organise induction and training
- Assist with project/service jobs activities
- Entering timesheets (weekly)
- Undertake invoicing including progress claims
- Provide support for End of Month spreadsheet reporting
- Provide support to Payroll, HSE, Finance departments as required
- Once monthly - support preparation for, and attend, an office-based Tool-Box Meeting (7.30am start that day)
Skills / Experience required:
- Previous administration gained in electrical, maintenance, construction services, HVAC, or facilities management environment preferred
- Cert IV Administration (or equivalent) preferred
- Intermediate MS Office, especially MS Word and Excel
- Excellent time management, planning and organisation skills
- High level communication/customer services capabilities
- Attention to detail - do it right first time
- Experienced in using Greentree or equivalent finance system preferred
- Attitude is everything and you will have a fantastic work ethic and a can do' attitude
- You will have the ability to naturally adapt to a fast-changing environment
