Working for a well established and award winning national electrical services company and reporting into the Division Manager, this Division Administrator position will involve you supporting the electrical contracting team with a range of administrative, customer services and operations tasks that need to be carried out in a timely, effective and efficient manner to ensure project and contract deadlines can be consistently achieved on time and on budget.

Location: Western suburbs (working fully at office location, this is not a WFH role)

Hours: 7am-3.30pm or 8am-4.30pm with half hour lunch (some flexibility can be offered)

Full Time and Permanent opportunity:

Key Responsibilities include but are not limited to

  • Maintain archive registers
  • Manage incoming divisional emails
  • Minute taking
  • General office duties including data entry
  • Follow up quotes/debtors
  • Keep open jobs files up to date
  • Records/customer/client systems upkeep
  • Customer services / call handling
  • Providing administrative support to Project Managers and project teams
  • Organise induction and training
  • Assist with project activities
  • Entering timesheets (weekly)
  • Undertake invoicing including progress claims
  • Provide support to Payroll, HSE, Finance departments as required

Skills / Experience required:

  • Previous administration experience within an office environment is essential
  • Previous administration gained in electrical and/or the construction services industry would be highly advantageous
  • Cert IV Administration (or equivalent) preferred but not essential
  • Competency with MS Office Suite
  • Excellent time management, planning and organisation skills
  • High level communication/customer services capabilities
  • Attention to detail - do it right first time
  • Experienced in using Greentree or equivalent finance system preferred but not essential
  • Attitude is everything and you will have a fantastic work ethic and a can do' attitude
  • You will have the ability to naturally adapt to a fast paced and often changing environment
